Note: Reviewers have limited access and may only see have access to the Review Submission menu item.
Start the review of a submission
In Review Submission, depending on the state of the audit go to either Pending Review or In Review tab and click on the audit to begin your review:
In the Audit History page click Open Audit.
When prompted Do you want to start the review? select Yes.
This will open the initial audit report.
The Next Steps drop down menu contains the following tools:
Reviewer: Allows you to re-assign the audit to a different reviewer.
Send Auditor Note: One way communication to anonymously send a note to the auditor. (also see: Email notification)
Require Revision: Discussed below.
Accept Submission: The final task of a review is typically to Accept an audit.
Reject Submission: Should only be used it the audit is unacceptable:
IMPORTANT: Accept / Reject relates to whether the audit will be reviewed or not. It does NOT relate to whether the audit passes or fails. For example, if an audit that is submitted by an auditor that is not certified to audit the audit should be Rejected. If an audit is however received from a certified auditor the audit should be Accepted even if the audit was failed as it is a record of the outcome of the annual audit.
Withdraw Submission: This changes the state of the audit and puts it back for resubmission. This is often used when an auditor wants to withdraw a submission that was accidentally submitted.
Reviewing the Submission
It is an industry best practice for reviewers to only suggest corrections and/or changes, but not to change any content in the reports. The auditor is responsible for the content of their work product (audit).
The main activity is to review the content of the audit for completeness and accuracy and conformance to appropriating auditioning standards. If any correction of change will be communicated to the auditor by creating a Note.
On the right side of each section, there is a tab labeled Add Note. Clicking on this tab, will start the creation of a Note type (also see: Note type) :
Actionable: Require an auditor to make changes to the audit. After the auditor has made the required changes, they must acknowledge the note as resolved.
Informational: Serve to communicate information to an auditor without requiring any specific changes. These notes and will require the auditor to acknowledge that they have read the information.
All notes must be acknowledged by the auditor before resubmitting an audit revision see: Resubmit an audit.
Complete the review of the entire audit and add notes as needed.
Note: To change the type of a Note click the Change note type dropdown
Require Revision
Once you have added Notes for all the required changes click on the Next Steps dropdown and select Require Revision.
You will be presented with an overview of all Notes that will be sent to the auditors, including a feedback box to add additional comments before you confirm that you Require Revision.
The audit status will not change to Awaiting Revision and the bar at the top will change color.
You can now exit the page.
You will receive email notification when a new version of the audit, with corrections, is submitted.
