As a reviewer, you will only see the audits assigned to you by the administrator, if you are missing an audit, or have been asked to address an audit that you do not see in your list, please contact your AuditXchange administrator within your association, and request that they assign it to you.
Also note, that once an audit has been assigned to a reviewer, the first time, the audit will appear under the 'In Review' tab, in the 'Review Submissions' page.
Select the desired audit to begin your review:
Once you have clicked into the audit, you will be directed to the main page, which contains all the basic information of the audit. To enter the Audit Review tool, please click the 'Review Audit Submission' button in the middle of the page:
You will see the initial report here as you would any PDF document and can scroll down to view each section of the audit.
The 'Next Steps' button (below) engages a drop down menu with tools for the reviewer:
Reviewer: clicking on that button allows you to re-assign the audit to a different reviewer.
Send Auditor Note: this is a basic tool of communication, you do not need to use this to communicate during the audit review, this is a way to send a note outside of the current review phase.
Accept/Reject: this indicates which results you concluded at the end of your review, and will notify the auditor that they have either passed or failed.
Withdraw: this changes the state of the audit and pushes the file back for resubmission. WARNING: do not use the button if you want your feedback and notes to go back to the auditor. We recommend you use them when you're requesting a complete do-over. We no not recommend to use this if you wish to submit a revision request for the auditor, expecting changes to be made.
On side of each section, there is a tab labeled 'Add Note'. This tab, when selected will allow you to select a note type:
Actionable: they require an auditor to make changes to the audit. After the auditor has made the required changes, they must mark (check off the box) the note as resolved.
Informational: they serve to communicate some information to an auditor without requiring any specific changes. These notes and will require the auditor to check off the box to acknowledge that they have read the information.
All note types must be acknowledged by the auditor before they send their report back; allowing you, the reviewer, to be certain the information has been addressed.
As you go down the report, you will add notes to each section, and those notes will appear in the software below each question when it is send back to the auditor, making the work easy, streamlined, and efficient. What to see what your auditor sees? Check it out here.
Please note: if you've accidentally clicked on wrong type of note you do not have to click the little x to delete it, you can click on the top of the note title (informational) and you will be able to change it to actionable, and vice versa. Clicking the x will delete the note completely
Once you have added all the revision requests you'd like to see, use the dropdown to select 'Require Revision' to initiate the request:
You will gain an overview of all notes below, including a feedback box to add additional comments before you confirm that you'd like to transition the audit into Awaiting Revision:
Once the state has changed, the bar at the top will change color to visually signal difference, and you will be able to click the back arrow on the top left side of the screen (Next to the Legal Name of the Audit) to go back to the main page of the report.
